Terms & privacy notice

Chepstow Plantaria Ltd, Iron Acton Plantaria Ltd & Norton Plantaria Ltd, Trading as Chepstow Garden Centre, Iron Acton Garden Centre and Norton Garden Centre, is the organisation, controller and processor of the Membership information provided by our Gardener’s Club Members and Customers.

Chepstow Plantaria Ltd, Iron Acton Plantaria Ltd & Norton Plantaria Ltd (The Company), care about your privacy and are committed to processing your personal information in accordance with fair information practices and applicable data privacy laws, within the meaning of the Data Protection Act and, with effect from the 25th May 2018 the General Data Protection Regulation.

This notice explains how the personal information of our Gardener’s Club members and Customers is handled by the Company.

This privacy notice does not apply to websites of third parties that we may refer to. We recommend that you consult the privacy notice of these third parties.

Personal Information Collection and Use

We collect personal information directly from our Gardener’s Club members and Customers in a number of ways:
– By our “Gardener’s Club” Loyalty App – Available in the Apple & Google App Store.
– In-store at a digital sign-up kiosk or a Direct personal interaction at a point of sale.
– In writing on a membership application, change of details or new card request form in store or online.
– By email or an online enquiry form.
– When you place a web shop order.

We process your information through established automated and/or paper based data processing systems for legitimate business purposes only, to administer your Gardener’s Club account, process a purchase in store or online and to directly communicate with you.

Types of personal Data collected online

We collect the following personal information from you when you join our Gardener’s Club:

The obligatory information is used to create and manage your Gardener’s Club membership account. This account is used to record and access your purchase details, reward points, discount status, vouchers and events. Our “Gardener’s Club” Loyalty App is the central hub for managing your membership and requires a valid email address for registration.

The contact information is used to send you relevant updates including Garden Centre news, gardening tips, special offers, vouchers, event invitations and promotional information. We may also use your contact information to respond to your enquiries efficiently.

If you use your Gardener’s Club account on our websites the information within the links below will be collected using cookies, this information is not obligatory. Cookies are small information files that a website leaves on your device, with which your activities on our website are followed. The information collected online using cookies is not obligatory.

 Disclosure / Recipients

Access to Gardener’s Club Members and Customers information will only be used for the purposes listed in this document.

We will only disclose or share your personal information with a third party service provider for legitimate business reasons and have taken the necessary contractual measures to ensure that our members information is processed and protected in line with applicable data privacy laws.

Currently we do use a third party service provider for our online services, we have a contractual processor agreement with this service provider in line with legislation.

We respect your right to object to any uses or disclosures of your personal information that are not for legitimate business purposes.

Sensitive Information

Member’s personal information will only be collected, processed or transferred if it is needed for legitimate business reasons; we do not share or sell your information.

We do not store payment or invoice details, if you make an online payment through our web shop the payment process is transferred directly to the online payment portal provided by our bank using their secure payment service.

Accuracy

We take reasonable steps to ensure that personal information is accurate, complete and current. Please note that you have a shared responsibility with regard to the accuracy of your personal information. If you need to update your personal information, you can do so directly through our “Gardener’s Club” App. If you do not have access to the App, you can contact us by completing the enquiry form on our website, emailing us directly or speaking to a member of staff in-store.

Access and the right to information

You may at any time request to view and verify the content and accuracy of your personal information held by the Company. You may also request that the Company deletes personal information about you.

To exercise these rights please speak to a member of our customer services team in store or go online and fill in a Gardener’s Club enquiry form. We will respond to your request as quickly as possible and no later than 4 weeks from your request.

Security

Chepstow Plantaria Ltd, Iron Acton Plantaria Ltd & Norton Plantaria Ltd, take reasonable precautions to protect personal information from loss, misuse, unauthorised access, disclosure and alteration. In the case of a breach of personal information we will take all reasonable steps to inform our customers.

Retention of Personal Information

Gardener’s Club membership information will be retained as long as is necessary to achieve the purpose for which it was collected, unless you have informed us that you wish to relinquish your membership or change your usage instructions.

We do not store your data for longer than is necessary to implement our agreement with you and for legitimate business purposes only. Online contact & customer feedback forms are automatically removed within 24 months.

In-App steps to delete your Gardener’s Club APP account:

Step 1: Log into the app

Step 2: Go to the Account icon

Step 3: Select the details tab at the top

Step 4: Scroll to the bottom and tap ‘Permanently Delete Account’

Step 5: Enter App password, and tap delete.

Your customer record is immediately and permanently deleted.

 

If you have deleted your App and want to delete your Account, please email us on [email protected].

 

Changes

We can change our privacy policy.  We will amend our privacy notice for any changes we make to our privacy policy. We therefore recommend that you regularly check our current privacy notice.
